Privacy policy

How the AZUS Field mobile app and web admin panel handle your information, in plain words.

  • We collect what is needed to turn your voice notes into reports and keep your hours.
  • The company you work for can see your reports, hours and chat in its workspace.
  • We don't sell your data, show ads or track you across other apps and websites.
  • We don't collect your location or contacts.

Who we are

AZUS Field is provided by Westfield Innovations ("we", "us"). This policy covers the AZUS Field app for iPhone and Android and the web admin panel your company uses to manage it.

Your employer's role

AZUS Field is a work tool. Your account is created by your employer, and your employer decides what the workspace records and which people in the company can see it, such as your manager or the office.

For this work data we act on your employer's behalf. If you have questions about how your employer uses your reports or hours, ask them first. If you contact us instead, we'll help and pass your request on where needed.

What we collect

Account
Your name, work email, role and company. Your password is stored only as a secure hash.
Voice notes
The recordings you make in the app, their text transcripts and when they were recorded. The microphone is used only while you are recording.
Work records
What each report is about (for example the type of update, the site, equipment or other items your company tracks), shift starts and ends, breaks, hours, the kind of work you named, corrections made by your managers and your answers to follow-up questions.
Chat
Messages, photos and files you send, and read receipts. The camera and photo library are used only when you choose to attach an image.
Device
Your phone's platform (iOS or Android) and a push notification token so we can send you notifications.
Technical logs
IP address, request times and error details, kept to protect the service and fix problems.

We don't collect your location, contacts, health data or advertising identifiers, and the app has no third-party advertising or analytics trackers.

How we use it

  • To turn voice notes into text and sort them into the right kind of report.
  • To build timesheets from the start, break and finish times you report.
  • To deliver chat messages, follow-up questions and notifications.
  • To show your employer the reports, hours and chat in its workspace.
  • To improve how your company's reports are recognised, using corrections made inside your company. These are not shared with other companies.
  • To keep the service secure, prevent misuse and answer support requests.

We don't sell personal data or use it for advertising.

Speech recognition and AI

To understand voice notes, we send the audio to OpenAI for transcription and the resulting text, together with the relevant parts of your company's setup (such as its list of sites and report types), to xAI to work out what the report is about.

These providers process the data only to return the result to us, under their business API terms. We send only what is needed for each note.

Who we share it with

  • Your employer, through its workspace in AZUS Field.
  • Service providers that run parts of the service for us: Amazon Web Services (hosting and storage), OpenAI (speech to text), xAI (report classification), Google Firebase Cloud Messaging (push notifications) and Stripe (your employer's subscription billing; we never ask workers for payment details).
  • Authorities, when the law requires it or to protect people's safety.
  • A buyer or successor, if Westfield Innovations is involved in a merger or sale, under this same policy.

Storage and security

Data is stored on servers in the United States. All traffic between the app and our servers is encrypted with HTTPS. Chat messages and attachments are also encrypted in storage, and the chat history kept on your phone is stored in an encrypted database.

Inside your company, access follows the roles your employer sets up, so a worker sees their own records and managers see what their role allows.

How long we keep it

We keep your data while your account and your employer's workspace are active, because timesheets and reports are work records your employer may need to keep.

When your account is deleted, or your employer closes its workspace, we delete or anonymise your personal data within 90 days, unless the law requires us to keep something longer. Copies in backups expire on their normal schedule after that.

Your choices and rights

  • You can turn off notifications, microphone or camera access at any time in your phone's settings.
  • You can ask for a copy of your data, or ask us to correct or delete it.
  • You can ask for your account to be deleted. See Delete your account.

Depending on where you live, for example in the EU, the UK or California, the law may give you further rights, including the right to object to some processing and to complain to your data protection authority. We answer requests within 30 days.

Children

AZUS Field is a work app and is not meant for anyone under 16.

Changes to this policy

If we change this policy, we'll update the date at the top. If a change is significant, we'll also let you know in the app before it applies.
